Privacy Policy

1. Scope
This Privacy Policy explains how WellEstimate.com (“WellEstimate,” “we,” “us” or “our”) handles personal information when you use our website, generate a well report, contact us or request contractor quotes.
2. Information we collect
Information you provide
A quote or contact request may include your name, email address, telephone number, property address or area, project type, timeline, project notes, consent and report context you choose to submit.
Search and report information
We process the addresses, communities or coordinates you search to locate nearby historical records and generate a report. A searched location is not necessarily your home address.
Technical information
Our website and infrastructure may process IP address, browser and device information, referring page, timestamps, requested URLs, diagnostic logs and security events. For contact-form rate limiting, we create a one-way hash from network and browser information rather than storing the raw values in the rate-limit key.
3. How we use information
- provide address search, mapping and nearby-well reports;
- respond to questions and process quote requests;
- connect requested projects with relevant service providers;
- secure the Service, prevent spam and enforce rate limits;
- diagnose errors and improve performance and usability;
- comply with law and protect users, the public and our rights.
We use personal information only for purposes a reasonable person would consider appropriate in the circumstances, with consent where required.
4. When we share information
We may share information with:
- Contractors and service providers when needed to respond to a quote request you submitted;
- Technology providers that support hosting, email delivery, rate limiting, mapping, geocoding, security and operations, including Resend and our Redis provider;
- Authorities or affected parties when reasonably necessary to comply with law, legal process, safety obligations or to investigate fraud and abuse;
- A successor organization in connection with a financing, reorganization, sale, merger or transfer of the business, subject to appropriate safeguards.
We do not disclose personal information for unrelated third-party advertising. Public well records shown by the Service come from official datasets and are not created from contact-form submissions.
5. Service providers and processing locations
Providers process information on our behalf under their own security and contractual practices. Information may be processed or stored outside Ontario or Canada, where it can be subject to the laws and lawful access requirements of another jurisdiction.
6. Retention
We retain personal information only as long as reasonably needed for the purposes described above, including responding to a project, maintaining business records, resolving disputes, security and legal obligations. Retention periods vary by record and provider.
The site-specific Redis contact-form rate-limit key is configured to expire after approximately 15 minutes. Infrastructure security and diagnostic logs may follow different provider retention periods. Information may persist in backups for a limited period after deletion.
7. Cookies and similar technologies
We do not currently use advertising cookies. Our hosting and security providers may use essential storage, logs or similar technologies needed to deliver and protect the Service. If we add non-essential analytics or advertising technologies, we will update this policy and provide choices where required.
8. Security
We use reasonable administrative, technical and organizational safeguards appropriate to the nature of the information. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.
9. Your choices and privacy rights
Subject to applicable law, you may ask to access or correct your personal information, withdraw consent, or request deletion of information we control. We may need to verify your identity and may retain information where permitted or required by law.
To make a privacy request, use our contact page and identify the request as privacy-related. Withdrawing consent does not affect processing already lawfully completed and may prevent us from fulfilling a quote request.
10. Third-party websites and public sources
Links to government, contractor and other third-party websites are governed by their own privacy policies. Official well datasets and geocoding sources may have separate public-record, licensing and privacy rules.
11. Children
The Service is intended for adults planning, buying or servicing property. We do not knowingly collect personal information from children under 13. Contact us if you believe a child submitted personal information.
12. Changes and contact
We may update this policy as our practices or legal obligations change. We will post the revised version with a new effective date. Questions or complaints can be submitted through our contact page.
